Administrative Assistant

The Family Advocacy Center of Northern Minnesota is recruiting for one fulltime Administrative Assistant for our Bemidji and Brainerd locations. This recruitment opens December 21, 2023, and will remain open until the position is filled.

Position Summary: The FACNM Administrative Assistant is responsible for providing administrative support for the operations Executive Director and the department within.

The Organization: The Family Advocacy Center of Northern Minnesota provides a range of services for children and their families referred for concerns of abuse, neglect, or trauma. In the center, core services relating to child abuse assessment include a medical exam, forensic interview and family support. Services are provided in consultation with other professionals such as law enforcement and child protective services.

Basic Functions and Responsibilities of the Position:

  • Greets and directs visitors, clients and interagency partners.

  • Assist arriving clients with needs (cultural, disability, etc.)

  • Receives calls and directs them to the appropriate party for disposition. Utilizes proper telephone etiquette when answering incoming calls, taking messages or interacting with staff, physicians, clients and the public.

  • Pick up and deliver mail. Sorts/prioritizes incoming mail for management.

  • Assist with filing, copying and faxing as needed by staff.

  • Responsible for inventory of supplies and arranging for replenishment at both Bemidji and Brainerd locations.

  • Maintains accounts payable files and deposits.

  • Compose correspondence, reports, forms and other documents independently or from notes or general instruction from supervisor and staff.

  • Proofread material and correct grammar.

  • May develop and maintain computerized spreadsheets and databases to enter information and generate reports.

  • May reproduce, revise or refine formal presentation materials, using presentation software.

  • Assist with the coordination of meetings within the Family Advocacy Center to include, but not limited to: calendar coordination, scheduling rooms/locations, preparing supplies, agenda preparation, minute taking from meetings, creation of documents, forms, charts, etc.

  • Assist with intakes as needed.

  • Establish and maintain a filing system for the department.

  • Coordinates maintenance requests.

  • Assist with the upkeep and care of the centers.

  • Create a positive experience for clients from beginning to end; communicate with compassion, courtesy, and respect.

Ability to:

  • Ability to work as a team with the Family Advocacy Center and multi-disciplinary team members.

  • Ability to balance multiple prioroties and successfully complete short-and long-term projects independently.

  • Ability to effectively manage time, resources and priorities in order to meet deadlines and produce quality work.

  • Practice culture humility.

  • Display excellent communication skills in interpresonal, written and multi-media channels.

Knowledge of:

  • Knowledge of the Minnesota Data Privacy Act.

  • Knowledge of area resources.

  • Knowledge of area demographics, culture, history and lifestyles.

Skilled in:

  • Confidentiality and ability to maintain confidential records relating to clients.

  • Basic computer skills, programs and equipment.

  • Grammar, spelling, composition and punctuation.

  • Communication skills.

Physical & Environmental Demands:

  • Work is performed in an office setting with moderate levels of noise.

  • Frequent talking and listening.

  • Frequent use of hands and fingers to operate computers, phone, and writing utensils.

  • Frequent local travel with occasional out of area travel.

  • Frequent high stress work environment.

  • Occasional lifting of twenty (20) pounds or more.

Basic Functions and Responsibilities as a Family Advocacy Center of Northern Minnesota Team Member:

• Pass a criminal background, a sex offender registration and child abuse registry check.

• Maintain required confidentiality in compliance with The Family Advocacy Center of Northern Minnesota policies, HIPAA, and State of Minnesota multidisciplinary child abuse assessment team statutory requirements.

• Attend the Family Advocacy Center of Northern Minnesota staff meetings, clinical team meetings, and other training and events as needed.

• Communicate professionally, respectfully, and supportively with internal team members and external partners.

• Promote a positive working environment by adhering to the Family Advocacy Center of Northern Minnesota Code of Conduct.

• Conduct the business of the Family Advocacy Center of Northern Minnesota so as to maintain and increase its goodwill and reputation in the community, consistent with professional and ethical standards of behavior.

Qualifications:

Required Education and Experience:

  • Two years of professional experience working with children and families and/or victim services or two year minimum of general office experience.

  • High School Diploma or GED

  • Qualified applicants must have possession of, or ability to obtain, an appropriate valid Minnesota Driver’s License, pass a criminal background check, and be free of chemical or alcohol abuse problems for at least two years.
